Office Activation Problems and How to Fix Them
Office activation fails for a small number of reasons, and one of them accounts for most cases: another Office installation is already on the PC. Work through this list in order.
"Product Notice: unlicensed product" banner
A coloured banner across the top of Word or Excel means Office is running unactivated, or that it activated but has not refreshed its state.
- Close every Office application, including Outlook and anything minimised to the system tray.
- Reopen Word.
- Check File → Account. If it now says Product Activated, you are done — the banner was stale.
If it still shows as unlicensed, continue below.
"The product key you entered cannot be used to activate this product"
The key does not match the Office installation. Keys are specific to both the version and the edition:
- An Office 2021 key will not activate Office 2024, and vice versa.
- A Professional Plus key will not activate Home & Business or Standard.
- A Windows key will never activate Office.
What to do: check File → Account — the product name shown there is the edition installed. It must match what you bought. If it does not, uninstall Office and install the matching edition.
Office keeps asking you to sign in
That prompt belongs to Microsoft 365, not to your perpetual licence. Almost every new PC ships with a 365 trial, and it takes precedence.
What to do: go to Settings → Apps → Installed apps, remove every Microsoft 365 and Office entry other than the one you installed, restart the PC, then enter your key again.
Two Office versions installed side by side is the single most common cause of activation failures. Remove the extras before troubleshooting anything else — it resolves the problem more often than any other step.
Activation appears to work, then reverts
Office activated, but the licence was not written — usually because Office was launched without sufficient permissions, or a security product blocked the change.
What to do: close Office, right-click the Word shortcut, choose Run as administrator, and enter the key again through File → Account → Change Product Key.
Online activation never completes
If the activation dialog spins and returns nothing, check whether your product is a Phone Activation licence — those do not activate online at all. See the phone activation guide.
Otherwise it is a network issue: disconnect any VPN, confirm the PC has working internet, and retry. Corporate networks frequently block the activation endpoints.
Still not activated
